I once sent a 22-page proposal to a buyer who had already told me she wanted to sign. It had an executive summary, a company-history section, a four-paragraph mission statement, and an appendix. She went dark for three weeks. When I finally got her on the phone she said, "I couldn't find the price, and I didn't have time to read all of it." We almost lost a closed deal to a beautiful document nobody read.
A sales proposal is not a brochure. It is a decision document. Its only job is to make saying yes the easiest possible action for someone who is busy, slightly nervous, and probably forwarding it to two other people. The template below does exactly that, and you can copy it in the next five minutes.
What a proposal is actually for
By the time you send a proposal, the selling should be mostly done. If the proposal is doing the convincing, you skipped a step earlier in the deal. Its real jobs are narrow:
- Confirm you understood the problem (in their words, not yours).
- Make the scope and price unmissable.
- Remove every reason to delay.
- Tell them exactly what happens next.
A proposal does not win deals. It loses them. A great proposal is one that gets out of the way of a yes you already earned.
Research from Gartner on the B2B buying process makes the point sharply: buyers are overwhelmed by information and conflicting inputs. Your proposal adding more length is not helping them. Clarity is the gift. HBR has documented the same thing about decision fatigue: every extra choice or page raises the odds of "let me think about it."
The structure that closes
Here is the order that works, and why each piece earns its place.

Notice the price is near the bottom but never buried. Buyers scroll to find it. Make it findable on purpose, not hidden in an appendix.

That is the whole thing. One page, maybe two if your scope is genuinely complex. If you cannot fit it on two pages, your deal probably is not as qualified as you think.
The mistakes that quietly kill proposals
A few things turn a clean proposal back into the 22-page disaster from my opening:
- Burying the price. If the buyer has to hunt for the number, you have introduced friction at the exact moment you wanted momentum.
- Offering five options. Two, maybe three. More than that and you have outsourced your recommendation to a confused buyer. Make a recommendation.
- Open-ended validity. "Valid through" creates a gentle deadline. Without it, your proposal lives forever in a tab and never gets decided.
- A vague next step. "Let me know your thoughts" is not a call to action. "Reply approved and we book kickoff Thursday" is.
- Reopening the sale. The proposal is not where you re-pitch. If objections are still live, handle them first with your objection handling scripts before you ever send paper.
Two options and a deadline close more often than ten options and an open invitation. Constraint is a kindness to a busy buyer.
Send it warm, never cold
Never let a proposal land in an inbox unannounced. The team at SaaStr and plenty of voices in r/sales agree on this: a proposal sent without a live conversation is a proposal sent to die. Walk through it on a call, then send the document as a confirmation of what you already discussed, not a surprise.
And tie off the loop after. If it goes quiet, you do not chase with "just checking in." You use a real reason to follow up, like the ones in our follow-up email guide, and if it truly stalls, a clean breakup email will get you a real answer faster than three more nudges.
